Who we are
CoachED Cricket is run by GTech Sports (Pty) Ltd, 68 Bowwood Road, Claremont, Cape Town, Western Cape, South Africa. We are responsible for the personal information described here (the "responsible party" under South Africa's Protection of Personal Information Act (POPIA), and the "controller" under the UK and EU GDPR).
Questions, requests and complaints about your information go to our Information Officer at info@coachedcricket.com.
What we collect
We only collect what we need to run your courses, membership and account:
- Your account: name, email address, password (stored scrambled, never readable), and your Google account ID if you sign in with Google.
- Your profile: the details you choose to add, such as country, coaching role, club, phone number and photo.
- Your learning: courses and lessons started and finished, sprint reflections, quiz and examination answers and results, assignments you upload, mentor feedback and marks, certificates, and your CPD record.
- Applications for Level 3 and Level 4: your answers, chosen cohort and payment plan.
- Payments: what you bought, when and for how much. Card details are entered on Stripe's secure checkout and never reach us.
- Messages: what you send through the contact form, help, community and course discussions.
- Prospectus requests: your name, email, country, coaching role and phone number if you give it.
- Email preferences: which emails you have asked for or turned off.
- Security records: when and from which device and browser you signed in, so we can protect your account and let you sign out other devices.
- Ad and campaign visits: if you arrive from one of our ads or a tagged link, the ad's click ID and campaign name (see Cookies).
How we use it
- To provide your courses, membership, certificates and CPD record, and to let mentors mark your work (contract).
- To take payments and keep financial records (contract and legal obligation).
- To send you emails about your account, courses, payments and applications (contract).
- To send newsletters, Weekly Thoughts and offers, only if you have asked for them; you can stop them at any time from any email or your account (consent).
- To keep the site secure, prevent fraud and fix problems (legitimate interest).
- To understand how the site is used and which of our ads and campaigns work, using statistics that don't identify you (legitimate interest, and consent where the law needs it).
- To verify certificates for anyone who asks, so employers and boards can trust them (legitimate interest).
What other people can see
- Your certificate can be checked by anyone who has its number, on our Verify a certificate page. It shows your name, the level and the date.
- Partners such as the coaching jobs site cricket.jobs can check whether a name and certificate number you've given them belong together. They learn only yes or no, plus the level and date when it matches.
- Graduates of Level 3 and Level 4 may be listed in our public graduate directory by name and level. Ask us if you would rather not be listed.
- Mentors see the work you submit for marking and your progress in their cohort.
- If you join your club, school or organisation on CoachED, its organisation admins see how far you are through each course, the modules you've finished, how long your course access has left and whether you passed. They don't see your exam attempts, marks or answers.
- In the community and leaderboards, other members see your name and photo. You can hide yourself from leaderboards and the community in your profile.
Who helps us run the site
We use trusted service providers who process information only on our instructions:
| Provider | What for | Where |
|---|---|---|
| Railway | Hosting the site and its database | Netherlands (EU) |
| Amazon Web Services | Storing assignment uploads and course files | AWS data centres |
| Stripe | Payments, invoices and subscriptions | USA and Ireland |
| Brevo | Sending account emails and newsletters | France (EU) |
| Mux | Streaming course videos and podcasts | USA |
| Sign in with Google, our email, and measuring Google Ads (ad click IDs only) | Worldwide | |
| Rybbit | Site statistics, without cookies and without storing IP addresses | EU |
Some of these providers are outside South Africa and the UK/EU. When information goes abroad, we rely on the provider's contractual safeguards (such as standard contractual clauses) so it gets the same level of protection.
We don't sell your information, and we don't share it with advertisers.
Advertising
We advertise on Google. There is no Google tag on this site. When someone who clicked one of our ads creates an account, makes a purchase, applies or requests a prospectus, we tell Google Ads about that one event with the ad's click ID, the time and, for purchases, the amount. We don't send your name, email or anything else about you.
For visitors in Europe we only do this if they said yes to our ad question, and we tell Google their answer. We never use your information to show you ads elsewhere on the web.
How long we keep it
- Your account, learning and CPD record: while your account is open, so you can come back to your courses and certificates.
- Certificates: for as long as they can be verified, so they stay trustworthy. Ask us if you want yours removed.
- Assignment files you upload (Levels 3 and 4): 12 months after your cohort ends, then deleted. Your marks and your mentor's feedback stay with your learning record.
- Payment and tax records: as long as the law requires (usually 5 years).
- Prospectus requests and contact messages: up to 2 years.
- Ad click IDs: 90 days in the cookie; with an event, up to 2 years for our reporting.
- Security records of sign-ins: up to 13 months.
When you close your account we delete or anonymise your information, except what we must keep by law or for certificate verification.
Your rights
You can ask us to:
- see the information we hold about you, and get a copy;
- correct anything that is wrong (most of it you can change yourself in your profile);
- delete your information or close your account;
- stop or limit how we use it, including for marketing;
- send your information to you or another provider in a common format (UK/EU).
Email info@coachedcricket.com. We reply within 30 days. Where we rely on your consent, you can withdraw it at any time.
If you're unhappy with how we handled your information, please tell us first. You can also complain to South Africa's Information Regulator (inforegulator.org.za), the UK's Information Commissioner's Office (ico.org.uk), or the data protection authority in your EU country.
Security
Your information travels encrypted (HTTPS), passwords are stored scrambled, staff accounts need two-step sign-in, and only the people who need your information to help you can see it. No system is perfectly secure, so if you think your account has been misused, contact us straight away.
Children
CoachED is for people who coach. If you are under 18, a parent or guardian must agree to you creating an account and using CoachED. If you think a child has given us their information without that agreement, contact us and we'll delete it.
Changes to this policy
We'll update this page if anything changes, and the date at the top will change with it. If a change matters, we'll tell you by email or when you next sign in.
